PUBLIC RECORDS

Visitors should be aware that, subject to certain statutory exceptions, many documents and records maintained by the City of Bedford Parks & Recreation Department, including but not limited to electronic data, are public records under Ohio law.  Therefore, information submitted through this website may be subject to disclosure pursuant to a public records request.

 

INFORMATION COLLECTED AND STORED AUTOMATICALLY

ONLINE REGISTRATION

Our site’s online registration, powered by MyRec.com, a recreation registration software company, requires users to provide basic account information such as name, address, phone, email address, and date of birth, along with method of payment to create an account and register for programs, activities and events with the City of Bedford Parks & Recreation Department. This information will never be sold to or shared with 3rd party agencies. This information may be used by our department to inform users about upcoming programs, activities and events, beyond those for which they’ve registered. This information also allows us to inform users of course cancellations and building closings. Additional, and more detailed information is provided by MyRec.com, and is available prior to registering for an account with City of Bedford Parks & Recreation Department.

TERMS OF USE

By registering for a City of Bedford Parks & Recreation Department program, users agree and consent to the following participation guidelines. Adults registering minor children agree to these terms on their behalf:

By enrolling in a program, activity or event with City of Bedford Parks & Recreation Department, registrants’ consent to participation in that program. Adults registering minor children consent to participation on their behalf. Registrants grant permission for participants to be included in photos taken during the program or activity which may be used by City of Bedford Parks & Recreation Department for promotional purposes. Registrants agree that participants are in good general health and can participate in activities as outlined in the program description. Registrants agree to release City of Bedford Parks & Recreation Department, its agents, employees and volunteers from any and all claim or liability including for any damages or injuries which may be sustained during or as a result of program participation.

City of Bedford Parks & Recreation Department does not provide insurance for participants. Participants must have insurance coverage for your child before enrollment in activities is granted.   In the event of an emergency, City of Bedford Parks & Recreation Department will make a reasonable attempt to reach a parent/guardian at the phone numbers provided to us. In the event that attempts to reach a parent/guardian have been unsuccessful, registrants give consent for the administration of treatment deemed necessary by participant’s preferred physician or preferred dentist or by another licensed physician or the transfer of child to nearest appropriate hospital or emergency facility. This authorization does not cover major surgery unless the medical opinions of two licensed physicians or dentists, concurring in the necessity for surgery, are obtained prior to performance of surgery.

 

DEADLINES

Registration is on-going; however, review each program listing to confirm registration deadline. Most programs have a maximum number of participants and registration for those programs may close prior to the deadline. Registration deadlines do not guarantee a spot in the program.

 

CONFIRMATIONS/CANCELLATIONS/LOCATION CHANGES

The Bedford Parks & Recreation Department does not mail confirmation of enrollment for any program; however, we will make every effort to notify all participants if a program has been cancelled or changed for any reason.

 

NON-ENDORSEMENT POLICY

Instructors used by the Bedford Parks & Recreation Department are contracted or hired because they have a special skill and talent, or area of expertise they are willing to share with others. The Bedford Parks & Recreation Department does not endorse the opinions or business affiliations of our instructors/contractors.

 

FACILITY PERMITS

The Bedford Parks & Recreation Department, on behalf of the City of Bedford, provides rental of public facilities; such as gyms, classrooms, etc. The department also issues permits for baseball/softball fields and other outdoor facilities. Outdoor facility permits are available May 1 through September 30. For more information and rates, please call the Bedford Parks & Recreation Department.

 

ADULT PROGRAMS

All Adult programs are for participants 18 years and older unless otherwise stated.

 

PROGRAM REFUND POLICY PARTICIPANTS WITH DISABILITIES

Anyone needing assistance to participate in any program should contact the Bedford Parks & Recreation Department so reasonable accommodations can be made to ensure a positive experience for all programs.

 

CANCELLED PROGRAMS

The City of Bedford Parks & Recreation Department reserves the right to cancel a program with fewer than the required number of registrants. In the event the City of Bedford Parks & Recreation Department cancels a program, a full refund will be granted to all individuals enrolled in the program.

 

 

REFUND POLICY

Refunds are available for classes and activities (unless otherwise specified) and rentals provided notification is provided to City of Bedford Parks & Recreation Department at least 5 business days prior to the start date. If a class is cancelled by City of Bedford Parks & Recreation Department participants will be given the opportunity to switch to another program, obtain credit to be used for another program, or obtain a refund.

REFUNDS BEFORE PROGRAM BEGINS

If a participant wishes to withdraw from a program, the participant must submit a written request at least 5 business days prior to the first session of the program, unless otherwise noted, provided it does not reduce the participation level below the required minimum*.

NO REFUNDS

No refunds will be issued after the program begins.

HOW REFUNDS ARE ISSUED

If the registration fee is paid by cash, check or money order the participant will receive a refund in the form of a check. If the registration fee is paid by MasterCard or Visa, the participant will receive a credit to the corresponding account. There will be no cash refunds. A Program Refund Request Form MUST be completed for all refunds. NO EXCEPTIONS.

Program Refund Request Forms are available online at www.bedfordoh.gov or at the City of Bedford Parks & Recreation Department. *In certain circumstances refunds cannot be granted because tickets, supplies and/or instructor fees are determined and/or purchased in advance based on enrollment numbers.

 

FEES & REGISTRATION INFORMATION

All participants must be registered and fees paid in full prior to the start of any program. I hereby certify that all information provided for registration is accurate and understand that providing false information may result in my inability to participate in any Bedford Parks & Recreation Department program.  Persons registering using a credit or debit card may be subject to additional convenience fees.

 

YOUTH ATHLETIC REQUIREMENT

The participant MUST have accidental insurance coverage that will pay his/ her medical or surgical expenses associated with any injury, major or minor that results from his/her participation in any athletic league.

USE OF RECORDINGS

I hereby authorize the City of Bedford and the Bedford Parks & Recreation Department, their employees and agents to record my or my child’s picture and/or voice (including but not limited to my or my child’s spoken or other vocal content) on photographs, films, video and audio tapes, CD-ROMs, DVDs, digital files or any other media in connection with any or all Bedford Parks & Recreation Department programs. Further, the City of Bedford and the Bedford Parks & Recreation Department are hereby authorized, at their discretion, to use and to license others to use such recordings in their original or edited form in any media (print, broadcast and others) for any and all educational and/or commercial purposes, and to use my or my child’s name, likeness, voice and spoken or other vocal content for such purposes. I acknowledge and agree that neither I nor my child will be compensated for any use by the City of Bedford or the Bedford Parks & Recreation Department of such recordings. I further acknowledge and agree that the City of Bedford will own exclusively any and all rights to such recordings.

 

PARTICIPATION WAIVER

By registering for a program, I acknowledge the possibility that injuries may occur during participation in City of Bedford Parks & Recreation Department programs and expressly assume the risk of all such injuries. Although most injuries are minor, injuries may occur that are severe enough to cause permanent disability, such as paralysis, or death. In consideration of the Bedford Parks & Recreation Department allowing me or my child, as applicable, to participate in Bedford Parks & Recreation Department programs, I hereby irrevocably and unconditionally release and forever discharge the City of Bedford and their City Council members, administrators, employees, agents, instructors, and volunteers (collectively, the “Released Persons”) from any and all claims, actions, demands, rights, liabilities, damages, costs, expenses or causes of action of whatever kind which may arise out of or relate in any way to my or my child’s participation in any City of Bedford Parks & Recreation Department program. Further, I hereby indemnify, defend and hold harmless any and all Released Persons against and from any and all claims, actions, demands, rights, liabilities, damages, costs, expenses or causes of action of whatever kind which may arise out of or relate in any way to my or my child’s participation in any Bedford Parks & Recreation Department program or any use of my or my child’s recordings as authorized below. I understand that all participants in Bedford Parks & Recreation Department programs are required to abide by the rules and policies of the City of Bedford and the Bedford Parks & Recreation Department, and further understand that my or my child’s failure to do so may result in termination of my or my child’s participation in any or all programs. I will be responsible for all facilities and equipment used and/or issued to me or my child throughout the programs, and will pay the repair/replacement cost for any facility and/or equipment damaged, lost or not returned by me or my child. I understand that all facilities and equipment must be used only in the manner for which they are intended.
